InfoGenesis POS Integration with 7shifts

InfoGenesis POS integrates with the 7shifts Restaurant Team Management Platform to support the following functionality:

  • Perform Scheduled Login

  • Perform Unscheduled Login

  • Capture Time Punch

  • Calculate Breaks

Changes made in the IGCM

The following changes have been made in the IGCM to support this integration:

  • A new menu, Employee Management, has been added to the Employees form (POS Configuration Employees Employee Management).

  • The following new terminal options have been introduced:

    • Terminal Option 1430 (Enable this Terminal Option to enforce Schedule Enforcement)

    • Terminal Option 1431 (Enable this Terminal Option to consider sign out as break in and sign in as break out.)

  • A new function button, Break (#2093), has been introduced to avail break.

Prerequisites

The latest version of the following add-ons must be mapped to the Integration Application Service module type in License Administration:

  • IAS_Channel_NAME_

  • IAS_Adapter_NAME_

IGCM Settings

Perform the following settings in the IGCM:

  • Configure IAS Adapter

  • Configure Enterprise

  • Configure Store

  • Configure Job Codes

  • Sync Employee

  • Configure Terminal Options

  • Configure Function Buttons

  • Prepare Terminal Data

Configure IAS Adapter

Navigate to POS Configuration  Interfaces  IAS Adapter Configuration Group.

Select Add.

In the Basic Details submenu, enter the name in the Configuration Group field. The Site Guid field displays an autogenerated value and the field cannot be edited.

In the Mapping submenu, the adapter configured for this adapter group is displayed after the mapping.

Select Save.

Navigate to POS Configuration  Interfaces IAS Adapter Configuration

Select Add.

Refer to the following table and fill in the fields:

ID

Enter an ID for the IAS Adapter.

Configuration Name

Enter a preferred name for the IAS Adapter.

Use Global IAS

Leave this checkbox enabled. Local IAS is not supported.

Under the Settings submenu, enter values for the fields as captured in the following table:

Channel Name

  • Select Roster Management from the drop-down list.

Adapter Name

  • Select 7shifts from the drop-down list.

Adapter Category

  • This value is auto filled as RosterManagement when the channel and adapter names are selected. It is a read-only field and cannot be edited.

URL

The URL is auto filled if the Use Global IAS checkbox is enabled.

Auth URL

  • Enter the following authorization server URL:

     https://app.7shifts.com

ClientCredential

Enter the credential provided by 7shifts.

ClientID

Enter the ID provided by 7shifts.

CompanyID

Enter the ID obtained from 7shifts. This ID must match the ID of the enterprise created in the Enterprise menu.

EnterpriseID

Enter the ID of enterprise configured in the Enterprise menu.

Siteid

Enter the ID obtained from 7shifts. This ID must match the Location ID created in the 7shifts portal.

Tenant ID

Enter the Tenant ID of the customer obtained from License Administration.

URL

Enter the following URL: https://api.7shifts.com/v2

Select Save.

Configure Job Code

Navigate to POS Configuration Employees Job Code.

Select Employees Job Codes.

Configure the default job codes.

Configure any additional required job codes.

Assign the appropriate functions to each job code.

Select Save.

It is mandatory to create job codes in the IGCM to successfully import the employees created in the 7Shifts portal.

Configure Terminal Options

Navigate to Terminals Terminal Option Group.

Select the terminal option group that is mapped to the terminal interfacing with 7Shifts.

Navigate to the Terminal Options tab.

Terminal Option

Description

1430 (Enable this Terminal Option to enforce Schedule Enforcement)

  • Enabled - When enabled, POS terminal verifies schedule availability for employees upon trying to clock in with a scheduled job code. Employees are not allowed to clock when a schedule is not available.

  • Disabled - When disabled, employees are allowed to clock in with or without the availability of a schedule. By default, this terminal option is disabled.

1431 (Enable this Terminal Option to consider sign out as break in and sign in as break out.)

  • Enabled - When enabled, signing into the terminal is considered break out and sign out is considered as break in for an employee.

  • Disabled - When disabled, users must access the Break (#2093) function button to capture their break in and out timings. By default, this terminal option is disabled.

Select Save.

Configure Employee Management

Navigate to POS Configuration Employees Employee Management.

Select the Enable checkbox.

Refer to the following table and select the values:

Select 7shifts from Adapter drop-down list.

Channel

This value is auto filled as RosterManagement when the adapter is selected. It is a read-only field and cannot be edited. 

Select Manage to procure and display the schedule created in the 7shifts portal. The schedule and store mapped is displayed under the Entity Mapping section.

Navigate to the Job Code Mapping section.

Select the 7shifts job code from the External Job Code drop-down list to be mapped with the POS job code available under the IG Job Code drop-down list.

AI-generated content may be incorrect.

One 7Shifts job code can be mapped with only one POS job code. However, one POS job code can have multiple 7shifts job codes mapped to it.

Select Sync Now available under the Entity Mapping section.

When Sync Now is selected, terminal data is cooked, and the configuration is reloaded.

Users can view the employee data imported from 7Shifts portal in the Employee menu. For all the 7Shifts employees, the Scheduled checkbox (POS Configuration Employees Employee Basic Details) is enabled by default.

Implementation in the POS Terminal

Scheduled and Unscheduled Logins

Scenario 1: Terminal Option 1430 (Enable this Terminal Option to enforce Schedule Enforcement) enabled

Log into the POS terminal.

If a scheduled employee logs in, the POS terminal creates a time punch for the employee with the following details and sends the information to 7Shift.

  • Location

  • Department

  • Role

If an employee without schedule attempts to login, a message, There is no active schedule for this employee, is displayed on the screen and the employee is restricted from logging into the terminal.

Scenario 2: Terminal Option 1430 (Enable this Terminal Option to enforce Schedule Enforcement) disabled

Users with or without schedule are allowed to log in and the following details are sent to 7Shifts:

  • Location

  • Department

  • Role

Managers have the authority to accept or decline an unscheduled employee login.

Capturing Time Punch

Scenario 1: Terminal Option 1431 (Enable this Terminal Option to consider sign out as break in and sign in as break out) enabled

Log in to the POS terminal.

Swipe, scan or tap the employee ID card or enter employee credentials at the Sign On screen.

Select the appropriate role. The employee is clocked in. A new time punch is initiated.

Select the Sign Off icon in the Jump Bar. The terminal signs off successfully. Users can also sign off by selecting the Sign Off function button in the Function screen. The time punch is updated with the start break time.

Break time is only considered valid if there is a minimum of 1 minute interval between sign-in and sign-off period.

Swipe the employee card or enter credentials at the Sign On screen. The time punch is updated with the end of break time.

Navigate to Functions Clock out to end the shift. The time punch data for the employee is finalized.

Automatic sign-in and sign-off are not supported for this functionality. Break (#2093) function is disabled on the screen when Terminal Option 1431 (Enable this Terminal Option to consider sign out as break in and sign in as break out) is enabled.

Scenario 2: Terminal Option 1431 (Enable this Terminal Option to consider sign out as break in and sign in as break out) disabled

When Terminal Option 1431 is disabled, sign in action is not utilized for capturing time punch data. Users must use the Break () function to initiate break time.

Swipe, scan or tap the employee ID card or enter employee credentials at the Sign On screen.

Select the appropriate role. The employee is clocked in. A new time punch data is initiated.

Navigate to Functions Break. The time punch data is updated with the start break time.

Swipe the employee card or enter credentials at the Sign On screen. The time punch is updated with the end of break time.

Navigate to Functions Clock out to end the shift. The time punch data for the employee is finalized.

Quitting or closing the POS terminal application will not be considered as break time.

If an employee is clocked out of their system from another terminal using the Shift Reset function, sign off details will be captured in InfoGenesis POS but will not be sent to 7shifts portal. Only clock out info will be sent to the 7shifts portal.
